Purpose of Job
Responsible for producing, developing, delivering and monitoring the Companies Facilities Management Strategy and for managing all FM service delivery in the Company’s offices, and other buildings as directed. Be the primary source of FM expertise within the Company and provide all required FM advice and support.
Summary of main duties and responsibilities
1. Main Tasks
1.1 Accountable for all aspects of the performance of the FM team and the wide range of services delivered through the agreed FM arrangements.
- Develop and maintain excellent relationships, at all levels throughout the Company, based on open and honest communication, with all users and stakeholders in the services being delivered.
- Set, review and monitor performance against targets and standards for the delivery of FM services.
- Achieve high levels of customer and stakeholder satisfaction.
1.2 Have overall responsibility for service delivery quality for all services delivered through the agreed FM arrangements:
- Delivery to promised standards, on time with minimum impact on the running of the business of the Company.
- Evaluate information on service delivery and implement processes for identifying a baseline and measurement on an on-going basis
- Continuous development of service level agreements
- Service management – effective administration and financial management
- Good communication – responsive to the requirements and change.
1.3 Responsible for managing all staff involved in the delivery of FM services who the Company decides at any time shall report through this post, including:
- Training, task planning and strategic planning
- Developing the team
- Make best use of skills and resources
- Effective communication processes
- Promoting high morale and motivation
- Regular staff development meetings (appraisal and development)
- Using and coaching staff to ensure their involvement, inclusion and empowerment
1.4 Take responsibility for the Companies budgets for the entire range of FM services, monitoring, reporting and dealing with financial issues arising, including:
- Effective management of core budgets
- Management of additional works against agreed budget
- Provide Value for Money – effective cost management
- Pro-active and innovative approaches demonstrated
- Manage the procurement of FM services, having regard to legislative requirements and Company policies and procedures
- Produce regular operational and financial management reports
- Plan, develop and manage projects, or supervise project managers in relation to works of repair, improvement or adaptation in the Companies buildings subject to FM arrangements.
1.5 Have overall responsibility for ensuring that the office accommodation complies with statutory requirements:
- Ensure all statutory requirements are met
- Manage Health and Safety to minimise risk
- Responsibility for undertaking risk management in relation to the delivery of FM services.
1.6 Take the lead role in relation to FM service development:
- Responsible for devising, obtaining approval and implementation of an FM Strategy
- Liaise with senior officers, directors and relevant Members in relation to the above
- Devise opportunities for enhancing the service and to improve continually the quality and range of services offered.
1.7 Carry out other duties commensurate with the post.
1.8 Ensure at all times that work actively promotes and develops the Companies Equal Opportunities Policy in relation to service delivery and HR practice.
1.9 In discharging the duties of the post, have regard to the provisions of Health and Safety legislation and best practice.
1.10 Represent the Directorate at senior level as required at internal and external meetings.
